Take the Hire Window From the Diary, Not the Wish

It is tempting to book a truck for a single morning and hope everything fits. Real jobs rarely behave that way. Sit down with an actual diary and count backwards from your deadline, allowing for loading, driving and the unexpected. If a van load of suitcases plus four relatives needs moving to a new flat, an afternoon slot will likely serve better than a rushed morning one.

Reserve Real Time for Collection and Return

Collection eats time. There are keys to sign for, a vehicle to walk around and questions to ask before you drive off. Returning it takes a similar stretch. Add an hour at each end of your hire period so the journey itself is not squeezed. A driver who arrives flustered at the depot will start the day already behind schedule.

Have the Driver Question Answered Before the Morning Arrives

Who is driving? That question should never be asked on the day. If two of you might take the wheel, both need to be accepted by the hirer in advance, since a second driver cannot simply be added at the roadside. Agree it the week before, and keep a second licence holder in reserve in case illness or a work call intervenes.

Describe the Cargo and Both Sites Plainly, and Put the Money Questions in Writing

Say what you are carrying and where it is going. A mixed load of bags, boxes and passengers changes what size of cab you need, and whether the vehicle can turn around at either end. Ask for the total cost, including any mileage charges and fuel expectations, in a written quote. Availability of particular models varies, so enquire early rather than assuming your first choice is waiting.
