Describe the Job Before the Vehicle

Labels differ from firm to firm, so describe the job rather than a category. Someone carrying a mix of luggage and passengers — to take one example — should say exactly that. Note anything long, heavy or fragile, and whether the whole consignment fits in a single run.

Settle Drivers and Documents First

Only named drivers get the keys, so settle your line-up before collection day. List everyone who might take the wheel, and raise licence questions early — trucks can carry requirements ordinary cars do not. Ask for the full document checklist and have every item ready the night before.

Budget for the Whole Day

Driving hours are only part of the day. Collection, inspection, loading, runs in both directions and handback all take time, and whichever stage you budget tightest is the one that overruns. Get collection times, return times and opening hours in writing before you commit.

Settle Costs and Cover in Writing

Raise money and insurance by phone or email, not at the counter. Ask what cover comes with the vehicle, how the deposit is held, what the mileage allowance permits, and how fuel is handled. Assume windscreens, tyres and your own goods sit outside standard cover unless told otherwise.
