Start With the People Behind the Wheel

Before anything else, note who will actually drive the truck. If two of you plan to share the wheel across a long run of deliveries, both need to be accepted by the hire firm. A customer moving stock to two sites might split the driving, so mention every driver in your opening message rather than waiting to be asked.

Set Down the Load as It Will Stand on the Day

Describe your load in real terms, not vague guesses. Think of a shopkeeper shifting stacked pallets of drinks: the height of the load matters as much as its weight, because it affects which truck fits. Note whether you need a tail lift too, since lifting gear is not fitted to every vehicle on a yard.

Give the Hours Their Due at Both Ends

Work out your timings honestly, including the boring parts. Loading a truck properly takes longer than most people expect, and unloading at the far end eats time as well. A customer collecting at eight and returning by five should say so, because overrun charges are the sort of surprise nobody enjoys on an invoice.

Ask About Charges and Cover Before Anything Is Signed

Once the basics are agreed, ask the hire firm to lay out every cost in writing: the daily rate, mileage terms, fuel expectations and what happens if the truck comes back late. Also ask what the excess would be if something went wrong. Comparing a written breakdown against another quote makes choosing far easier.
