Start with the Job, Not the Vehicle

Naming a model rarely helps; describing the work always does. Say what will be carried and roughly how much, then explain the handling — hand loading, a lift, or strapping requirements — and where the truck must go. Someone shifting a mixed load of cases and passengers has very different needs from a furniture delivery, and the hire team can only match you well if the picture is honest.

Settle Money, Cover and Paperwork Early

Ask about insurance, the excess and the deposit while plans are still fluid, because these become harder to unpick once a slot is booked. Check how mileage is charged and what fuel condition applies. Each operator keeps its own document list, so request it in your opening message and send licence details for every named driver at the same time.

Fix the Driver Line-Up First

Who may drive is the one element that cannot be rescued at the collection desk. Vehicles are released only to the drivers on the agreement, and additional drivers generally need registering in advance. If a colleague or relative will share the wheel, name them early. Declare any endorsements or overseas licences during booking, since each firm applies its own standards.

Budget the Whole Day, Not Just the Drive

Hire hours cover only the time the truck sits in your keeping. Travelling to collect it, the walk-round, loading, unloading and refuelling all eat into your own day, and the tightest stage is the one that overruns. Work backwards from your latest possible return, pad every step, then propose windows — and raise any chance of running long while the booking is still forming. Whether a particular truck is free depends on the fleet at the moment you book.
