Plan the Handover at Both Ends of the Day

Think of handover as two appointments rather than one. When you collect the truck in the morning, someone must walk around it, note marks and agree the fuel level. The return deserves the same care, because a rushed drop-off late in the day leaves little time to settle questions.

Set Two Honest Times and Build Slack Around Them

Fix a start time and a finish time, then pad each one. If your event needs the truck loaded by nine, aim to have it in your hands an hour earlier. A supplier might match your slot, though fleets shift between customers, so agree a fallback time too.

Describe the Load as It Is, Not as You Hope It Is

Say what the truck will actually carry. Marquee frames, stacked chairs and pallets of drinks each behave differently on the road and during loading. A customer who mentions odd shapes, weight or loose items helps the supplier suggest something that handles them, instead of discovering difficulties at the depot counter.

Confirm the Drivers Long Before the Keys Appear

Decide who drives before collection day, not in the depot car park. Each named driver must satisfy the supplier's checks, which take time. If a second person might take the wheel for the evening leg of your event, raise it early and let the paperwork catch up.
